Recurring Guestroom Noise Complaints: How Can Hotels Identify the Cause Before Making Repairs?

If a guest reports a humming sound at night but the engineering team hears nothing unusual during a daytime visit, what should happen next? If the record says only “checked”, the next shift receiving a similar complaint still has no clear starting point.

For recurring noise complaints, a hotel should first connect the timing, possible sound source, transmission path and affected rooms. It can then decide whether to adjust operations, repair equipment or seek a professional assessment of sound insulation. A room move can protect the guest's immediate rest, but investigation must continue; otherwise, the same room may leave the problem for the next guest.

On 28 July 2025, People's Daily reported guest concerns including inadequate sound insulation in doors and windows in an article on hotel service quality. This establishes that the issue has a real basis. It does not establish the national proportion of hotel noise complaints or identify the cause at any particular property.

Turn “the room is noisy” into information that can be checked

When receiving feedback, the front desk should, without disturbing the guest's rest, record the specific time, room number, characteristics and duration of the sound, and where the guest believes it comes from. A continuous hum, intermittent knocking and corridor conversation provide different leads. Preserve the guest's description, while recognising that the suspected source location still needs checking on site.

Housekeeping and engineering should add the conditions at the time: the position of doors and windows, the air-conditioning operating mode, and any nearby cleaning and transport activity, food and beverage activity, or equipment starting and stopping. The purpose is to connect the conditions under which the sound occurs, rather than collect guest information unrelated to the investigation.

Hearing nothing during the day establishes only that this inspection did not reproduce the sound. Where complaints cluster at a particular time, inspections should approach that timing and those operating conditions as closely as possible. Reproduction must not create a disturbance or involve arbitrary operation of safety-critical equipment. Any controlled checks should be organised by authorised engineering staff, with normal use by guests protected first.

Distinguish where sound originates from how it enters the room

The source and the transmission path are separate questions. People talking in a corridor provide a lead about the source. Sound entering through the door and gaps around its frame is a possible path to investigate. A sound occurring while equipment runs does not justify opening a wall simply because it seems to come from inside it.

The Scottish Government's 2022 technical handbook for non-domestic buildings explains that doors directly connecting communal areas with hotel bedrooms can be a weak point in sound insulation, and that gaps between doors and frames provide a path for sound. This material helps explain the investigation approach. Its design criteria belong to a specific jurisdiction and scope and cannot be treated directly as acceptance requirements for hotels in China.

Ordering a batch of supposedly soundproofing materials before checking the problem therefore leaves the central question unanswered: which verified transmission path will the materials address? Without that answer, even a low quotation is difficult to assess.

For sounds potentially associated with air conditioning, pumps or other building service equipment, record their relationship with operating conditions. Engineering staff can then determine whether equipment inspection or acoustic measurement is needed. The public description of ISO 16032:2024 connects measurement of sound from building service equipment with specified operating conditions and cycles, and includes hotels within its application. Its scope excludes sound transmitted into buildings from external sources. One test method cannot explain every complaint about a noisy room.

Competent personnel should determine what to measure, where to measure it and how to account for background sound under an applicable method. A phone recording can help preserve the timing and characteristics of a sound. A recording or a phone's decibel reading alone cannot establish compliance.

Address the guest's immediate difficulty before deciding on permanent remedial work

During the investigation, the front desk should continue to arrange communication, room moves or other remedies according to actual room availability and its authority. Staff should explain what is known and avoid promising unverified “absolute quiet”. Where a room repeatedly disrupts rest and the problem cannot yet be controlled, the general manager and housekeeping should assess whether to suspend sales and what evidence is needed before returning it to use.

Permanent work should follow the cause. If the evidence points towards cleaning and transport activity or use of communal areas, first check whether work timings, routes and on-site management can be adjusted. If it points towards equipment condition, qualified personnel should inspect and repair it. Where transmission may involve doors, windows, partitions, floors or service penetrations, obtain a professional assessment before defining the work. Suspected structure-borne sound or low-frequency vibration should not lead directly from a listening impression to a construction specification.

Consider this hypothetical investigation: complaints in one room mainly occur during corridor transport activity, and inspectors confirm that the two coincide under similar conditions. A controlled adjustment to the activity, without compromising service or safety, can test whether the sound inside the room changes. If it persists, the original interpretation needs revising. The hotel should not continue directing all expenditure towards trolleys or flooring.

Such limited checks use reversible actions to narrow down possible causes. They do not guarantee identification of a single source or replace necessary professional testing. Where external construction or activity at an adjoining property is involved, the hotel also needs to coordinate with the responsible parties. Local repairs inside the hotel may not resolve an external problem.

No measure should block necessary ventilation, prevent a fire door from closing properly or compromise safe equipment operation. Changes affecting building construction and fire performance require prior checks of applicable local requirements and approval conditions.

What should an investigation record contain?

The general manager can have engineering and housekeeping use one shared record, with a separate entry for each issue and at least the following information.

Complaint details: room, date and time period, sound description, duration, impact on rest and temporary arrangements already made.

Site conditions: inspection location, door and window positions, equipment operating modes, nearby activities and whether the sound was reproduced. If it was not reproduced, record that fact rather than close the issue as “normal”.

Assessment of the cause: confirmed facts, suspected source, possible transmission path and missing evidence. Keep hypotheses separate from confirmed findings.

Action decisions: what happens first, who is responsible, expected completion, whether the room must be taken out of use or specialist support obtained, and who approves the costs. For outsourced work, specify whether the deliverable is an inspection finding, a repair result or a measurement report.

Verification results: who checked, under what conditions, whether the original sound recurred, whether the intervention created other problems in use, and what remains unverified. Retain a pending-verification status if conditions are insufficient for a proper check.

The general manager coordinates resources across departments and the budget. The front desk and housekeeping provide complaint and room-status information. Engineering handles technical investigation and coordination with specialists. Approval authority for taking rooms out of service, changing service arrangements or increasing expenditure should follow the hotel's management rules.

Verify the result under the conditions in which the problem occurred

Completing the work still leaves a result to verify before concluding that guests can rest comfortably. Return as closely as possible to the original location, a similar sound source and comparable operating conditions, recording any differences. A quiet daytime room while equipment is switched off cannot establish that a night-time operating problem has been resolved.

Where measurements are compared, professionals should confirm that the methods and conditions before and after the intervention are comparable. Where the first intervention is operational, check that the adjustment can be sustained during actual shifts, rather than arranged only for inspection day.

Follow-up should consider both similar feedback and whether the affected rooms have actually been used. Rooms withdrawn from sale, lower occupancy or guests leaving no reviews can all reduce recorded complaints. These circumstances alone do not establish effectiveness. The hotel should also record related room moves, remedies and loss of room availability to help management decide whether further investment is needed, without directly attributing changes in records to one particular measure.

If the same problem recurs or the original source remains unconfirmed, pause expansion of unverified remedial work and revise the assessment or commission a specialist evaluation. If the improvement is only partial, retain an accurate record of the remaining problem and define the conditions for the next check.

Start with one room that has attracted repeated complaints. The general manager can arrange for engineering and housekeeping to complete this record together and schedule a check that approaches the original complaint conditions. Use the findings to decide the scope of the work. Establishing where the sound comes from gives expenditure a clear purpose and provides a basis for verification afterwards.
