Why Hotel Handovers Keep Failing: The Problem Is Often Missing Records, Not Careless Staff

The morning shift takes over and the handover log says only “Everything is fine.” Yet Room 302 has an air-conditioning repair pending, Room 416 is waiting for inspection, and a guest was promised late checkout. The information was passed, but the matters were never closed.

A verbal message, a group-chat note or a sticky note is not a completed handover. None answers three essential questions: who owns the item, by when it must be completed, and who will verify it. A real close-out also needs a current status.

Start by separating five categories: guest matters, room status, facility matters, revenue matters and pending verification. Record the request and promise for guest matters; the cause and recovery time for room status; the fault, engineering feedback and guest impact for facilities; the amount, owner and closing condition for revenue; and the claimed completion, verifier and result for pending verification.

A practical handover sheet needs only six fields: item, affected party, responsible role, deadline, verifier and status. Use not started, in progress, awaiting verification or closed. Write a specific date and time, not “ASAP” or “today.” The verifier should ideally be different from the responsible person.

For example: Room 302 air conditioning is not cooling; the engineering duty technician owns it; repair and testing are due by 2:00 PM on August 9; the housekeeping supervisor verifies the room; status is reported and awaiting repair. The next shift can move straight into execution.

Managers only need to review three traces each week: unclosed items, items repeatedly chased, and items sent back and forth between departments. These reveal whether the gap is in verification, ownership or cross-department coordination.

Handover is not an administrative routine. It is one of the most frequent management actions in a hotel. Once owner, deadline and verifier become fixed fields, information becomes a checkable and traceable operating action.
